Privacy Policy

This Privacy Policy describes how evaluate-ai.app collects, uses, and protects information in the E-Valuate Students mobile application (“App”).

1. What we collect

• Scanned images & PDFs you choose to submit. You capture pages using your camera. The App builds a single PDF at submit time and uploads it to our secure storage for your exam session.
• Basic identifiers for exam logistics. Your name and/or roll number may be required by your examiner, and we generate a device identifier to prevent duplicate submissions from the same device.
• Crash & diagnostics. We use Firebase Crashlytics to collect crash logs and minimal device info (model, OS version) to improve reliability. No personal content from your PDFs is included.

2. How we use information

• To create and deliver your PDF answer sheet to the correct exam session.
• To identify your submission (name/roll number) for the examiner.
• To ensure fair use (e.g., one submission per device where required).
• To maintain and improve the App (e.g., diagnose crashes and performance issues).

3. Where your data is processed & stored

• On-device: Scanned images are kept locally until you submit. After a successful upload, temporary files are deleted by the App. (Your institution’s settings may allow keeping a copy of the final PDF in your device’s app-specific storage.)
• Cloud storage: Submitted PDFs are stored in Google Cloud Storage (GCS) under your exam session.

4. Third-party services

• Google ML Kit Document Scanner – on-device scanning & auto-crop.
• Google Cloud Platform – storage and secure delivery of your PDFs to the examiner.
• Firebase Crashlytics – crash reporting and diagnostics.

These providers process data on our behalf under their terms and privacy commitments.

5. Data retention

• On device: Temporary images are deleted after successful submission. A local copy of the final PDF may be kept in app-specific storage if you choose.
• In cloud storage: PDFs are retained for the duration of the exam workflow and institutional policies, then deleted or archived per the examiner’s requirements.

6. Your choices

• You can review pages before submission and cancel instead of submitting.
• If you need the PDF removed after submission, contact your examiner or us (see Contact).

7. Children

This App is intended for use within supervised educational settings. If you believe a minor used the App improperly, contact us.

8. Security

We apply reasonable technical and organizational measures (HTTPS, signed URLs, access controls) to protect submissions. No system is perfectly secure.

9. Changes

We may update this Policy from time to time. We’ll change the “Effective” date above and publish a new version at this URL.

10. Request Deletion

Users can request deletion of their submission and associated personal data (name, roll number, device ID) by emailing support@evaluate-ai.app with their exam code and the file name they uploaded. We verify the request and delete data from our databases and cloud storage within 30 days.
